SkillsLoop LTD is committed to creating a safe, positive and supportive environment for every child and young person who takes part in our mountain bike coaching activities.

The welfare of the child is paramount. Safeguarding is everyone's responsibility and concerns about the safety or welfare of a child will always be taken seriously.

Policy Statement

SkillsLoop LTD is committed to safeguarding and promoting the welfare of children and young people participating in our activities.

We believe that every child has the right to enjoy mountain biking in an environment that is safe, welcoming and free from abuse, neglect, exploitation, discrimination or avoidable harm.

Every child will be treated with dignity and respect regardless of age, disability, gender, race, religion, background, ability or personal circumstances.

Coaches, staff and volunteers working with SkillsLoop share responsibility for maintaining appropriate safeguarding standards and reporting concerns.

This policy is informed by current safeguarding principles and Working Together to Safeguard Children 2026.

Aims Of This Policy

  • To protect children and young people taking part in SkillsLoop coaching sessions and activities.
  • To provide coaches, staff and volunteers with clear safeguarding expectations and procedures.
  • To ensure safeguarding concerns are recognised, recorded and responded to appropriately.
  • To ensure parents and guardians understand SkillsLoop's safeguarding approach and their responsibilities.
  • To provide a safe environment where young riders feel able to raise a concern or say when they feel uncomfortable.

Definitions

Child / Young Person

For the purposes of this policy, a child or young person is anyone under the age of 18.

Safeguarding

Safeguarding means protecting children from abuse, neglect, exploitation and other forms of harm, supporting their health and development and taking action to help children achieve safe and positive outcomes.

Child Protection

Child protection forms part of safeguarding and relates specifically to action taken where a child may be suffering, or may be at risk of suffering, significant harm.

Designated Safeguarding Lead

The Designated Safeguarding Lead, or DSL, is the person responsible for overseeing safeguarding within SkillsLoop LTD and acting as the primary point of contact for safeguarding concerns.

Responsibilities

Coaches, Staff & Volunteers

  • Follow this safeguarding policy and the SkillsLoop Code of Conduct.
  • Maintain appropriate professional boundaries with children and young people.
  • Remain alert to possible safeguarding concerns.
  • Report concerns to the Designated Safeguarding Lead as soon as possible.
  • Complete appropriate safeguarding training for their role.
  • Complete DBS checks where required and appropriate for the role.

Parents & Guardians

  • Provide accurate emergency contact and relevant medical details.
  • Inform SkillsLoop of any information that may affect their child's safety or participation.
  • Ensure their child attends with suitable clothing, protective equipment and a safe, serviceable bicycle.
  • Remain contactable throughout the session.
  • Raise any safeguarding concern directly with the SkillsLoop DSL.

Designated Safeguarding Lead

  • Act as the primary point of contact for safeguarding concerns.
  • Receive and appropriately record safeguarding information.
  • Ensure safeguarding records are stored securely and confidentially.
  • Seek advice or make referrals to statutory safeguarding agencies where appropriate.
  • Ensure safeguarding procedures and this policy are reviewed regularly.

Safe Coaching Practice

SkillsLoop aims to create an environment where young riders can learn and progress while maintaining clear professional boundaries and appropriate supervision.

Group Sizes Junior Academy sessions operate with a maximum of six riders per coach.
Supervision Coaches will avoid unnecessary situations where they are alone and out of sight with a child. Where individual instruction is required, this should wherever practical take place in view of others.
Communication Course and coaching communication with young riders should normally take place through their parent or guardian rather than personal social media, messaging or telephone contact.
Transport SkillsLoop coaches will not normally transport children in a personal vehicle. Any exceptional arrangement must be agreed in advance with the parent or guardian and managed appropriately.
Photography & Video Appropriate parent or guardian consent must be obtained before identifiable images or video of a child are used by SkillsLoop.
Physical Contact Physical contact will only be used where necessary, appropriate and justifiable, for example to protect someone from immediate danger or where appropriate coaching assistance has been explained.

Recognising & Responding To Concerns

Coaches, staff and volunteers should remain alert to signs that a child may be experiencing abuse, neglect, exploitation or another safeguarding concern.

Concerns should be reported to the SkillsLoop Designated Safeguarding Lead as soon as possible.

A person reporting a safeguarding concern does not need to prove that abuse has taken place. Concerns should be passed on so that they can be considered appropriately.

If a child is in immediate danger or there is an immediate risk of serious harm, call 999. The Designated Safeguarding Lead should then be informed as soon as it is safe and practical to do so.

Safeguarding concerns will be recorded and, where appropriate, advice will be sought or a referral made to the relevant statutory safeguarding service.

Reporting Procedure

Where a safeguarding concern is identified, SkillsLoop will follow the process below.

A coach, member of staff or volunteer identifies, receives or is told about a safeguarding concern.
The concern is reported to the Designated Safeguarding Lead as soon as possible.
The concern is recorded accurately, including relevant factual information.
The DSL considers the information and determines appropriate action, including seeking safeguarding advice where required.
Where appropriate, the concern may be referred to children's social care, police or another statutory safeguarding agency.
Parents or guardians may normally be informed about concerns where appropriate, unless doing so could place the child or another person at increased risk, interfere with a safeguarding investigation or conflict with advice received from statutory services.

If A Child Makes A Disclosure

If a child tells a coach, member of staff or volunteer about something that raises a safeguarding concern, the person receiving the information should:

  • Listen calmly and take what the child says seriously.
  • Allow the child to speak in their own words and avoid unnecessary or leading questions.
  • Reassure the child that they were right to speak to someone.
  • Never promise to keep safeguarding information secret.
  • Explain, in an age-appropriate way, that the information may need to be shared with someone who can help keep them safe.
  • Make an accurate written record as soon as possible.
  • Report the concern to the DSL without unnecessary delay.

Confidentiality & Record Keeping

Safeguarding information will be handled sensitively and shared only where there is a legitimate safeguarding reason to do so.

Records relating to safeguarding concerns will be kept securely and separately from general coaching information wherever appropriate.

Information may be shared with relevant professionals or statutory agencies where this is necessary to protect a child or support an appropriate safeguarding response.

The safety and welfare of the child will take priority when deciding whether safeguarding information needs to be shared.

Allegations Or Concerns About An Adult

Any safeguarding concern or allegation involving a SkillsLoop coach, member of staff, volunteer or another adult working with children must be taken seriously and reported promptly.

The matter will not be investigated informally by SkillsLoop where doing so could compromise an appropriate safeguarding process.

Advice will be sought from the appropriate safeguarding authority or statutory agency where required.

Appropriate steps may be taken to restrict an individual's contact with children while a concern is being considered.

Training & Policy Review

SkillsLoop is committed to maintaining appropriate safeguarding awareness and training relevant to the roles undertaken within the business.

This policy will be reviewed at least annually and may be reviewed earlier following:

  • A safeguarding incident or concern.
  • A significant change to SkillsLoop activities.
  • A change in safeguarding guidance or legislation.
  • Learning or recommendations arising from safeguarding practice.
